DESCRIPTION OF POSITIONS

The PTO board of directors is composed of elected officers. It meets one evening per month to conduct PTO business. In addition, board members attend the general membership meetings of the PTO, attend the activities they chair, if applicable and assist with PTO sponsored events. The following is a description of each position:

ELECTED OFFICERS

President – At least one member of the Office of the President(s) shall preside at all meetings of the PTO, shall be the liaison between the Principal and School Administration and the PTO, appoint chairpersons for special committees, coordinate the work of the officers and committees to promote the purposes of the PTO, be responsible for transacting the necessary business of the PTO between meetings, approve the plans of, and appoint and oversee the standing and special committees and present a report at the general and Board of Directors meetings. The Office of the President(s) shall manage or appoint a representative to manage the Cloud (Google Drive or Dropbox type) account. Effort: Year-round and ongoing.

Vice President – Act as an aide to the President(s) and will perform the duties of the President(s) in the absence or inability of that officer to serve, assume other duties as assigned by the Office of President(s), shall chair at least one committee or activity. be responsible for overseeing specific projects as designated, be responsible for presentations at the meetings of their designated activities, events, fundraisers, etc... and be responsible for collecting and compiling reports from all the standing and special committees. Effort: Year-round and ongoing.

Vice President of Membership-  Shall conduct the Membership Drive in the Fall, be responsible for recruiting members at designated school activities in the Fall and Spring, and throughout the year, be present and gather volunteers for the membership table at the Staff Back to School Breakfast, Meet The Teacher, Boo Hoo/Yahoo Breakfast, Open House, SPIN Night, Incoming 6th Grade Orientation Night, and Kindergarten Roundup (other events may be added), Membership shall be responsible for creating and updating a list of members that shall be available to all the officers and will be responsible for informing different committee chairs of person(s) interested or qualified to assist on their committees. Effort: Year-round and ongoing.

Vice President of Business Partners – Responsible for creating letters and business partnership sponsorship forms/packages, be responsible for all communication between the business partners and/or the PTO and Laurel Nokomis School, is responsible for ensuring that business partners receive all advertisement and/or items owed to them as designated by their sponsorship form, handle communication between the PTO and the Sarasota County School District Team Up Volunteer & Partnership Council and will keep all records regarding business partners and passing said information along, as needed. VP of Business Partners shall also perform such other duties as delegated by the Office of the President(s). Effort: Year-round and ongoing.

Vice President of Communications – Shall maintain and keep current information on the Laurel Nokomis PTO website, handle all of the website correspondence and forward the information to the appropriate officers/staff, produce the newsletter and maintain the PTO’s social media, such as Facebook and perform such other duties as delegated by the Office of the President(s). Effort: Year-round and ongoing.

Vice President of Holiday Shop – Shall chair the Holiday Shop, form a committee of shoppers, be a liaison between the PTO and the Holiday Shop committee, prepare a plan with their committee and present a post event summary to the PTO and perform such other duties as delegated by the Office of the President(s). Effort: Year-round and ongoing.

Vice President of Run-A-Thon - Shall chair the RAT, form a committee, be responsible for all contracts, be a liaison between the PTO and the RAT committee members, present a post event summary to the PTO and perform such other duties as delegated by the Office of the President(s). Effort: Half Year plus Commitment.

​

Vice President of Fall Fundraising - Shall chair the fall fundraiser and form a fundraising committee, be responsible for all contracts, if applicable. be a liaison between the PTO and the Fall Fundraising Committee, present a post event summary to the PTO and shall perform such other duties as delegated by the Office of the President(s). Effort: Half Year plus Commitment.

Treasurer – Shall have custody of all the funds of the PTO and shall keep full and accurate account of all receipts and expenditures, will be responsible for all reimbursements, bills, and Funding Requests, will meet with the PTO accountant to update the B.O.D. with Sunbiz and handle all tax requirements, present a financial statement at each meeting and at other times as requested by the Office of the President(s), chair the Budget and Finance Committee and perform such other duties as delegated by the Office of the President(s). Effort: Year-round and Ongoing.

Secretary – Prepare agendas and take, type and distribute the minutes for all general and Board of Directors meetings; Prepare written correspondence for the PTO;  Maintains documents on Google Drive;  Keeps the calendar of events for the PTO up-to-date; Responsible for submitting the Activity Reports for the General PTO meetings; Sending out meeting flyers.  Effort: Year-round and ongoing.

​

Liaison: Middle School - Shall be a liaison between the PTO and the Middle School Staff Advisor and shall serve as a vital member of communication for both entities and shall assist in Student Council Functions to organize events. Responsibilities include forming committees, advertising, selling tickets, and all coordination of food and entertainment for the event. In addition, the liaison will coordinate volunteers to setup, decorate and clean up the day of the event(s) and shall perform such other duties as delegated by the Office of the President(s). Effort: Year-round and Ongoing.

Liaison: SAC/A+ – Shall be the liaison between the Student Advisory Council / A+ Funds and the PTO and will attend the monthly meetings on behalf of the PTO. Liaison will send all minutes from meetings to the PTO President(s) and will facilitate any additional communication between the entities. Effort: Year-round and Ongoing.

Liaison: Staff Shall be the liaison between the entire LNS Staff and the PTO and will update the PTO on all information pertinent to the Board. . Liaison will send all minutes from Staff Meetings to the PTO President(s) and will facilitate any additional communication between the entities. Any PTO communications to the staff may also be sent through the Staff Liaison. Effort: Year-round and Ongoing.

VOLUNTEER COMMITTEE CHAIRS:  The following are not positions on the executive board, however, nominations will be accepted: (Committee chairs are expected to attend their events).

​

Trunk of Treat (OCTOBER): The Trunk or Treat Volunteer Chairperson(s) will form a committee of volunteers, set up food vendors, contest prizes, and decorations and will be responsible for all flier distribution and social media blasts for the event.

​

Book Fairs:  Volunteer chairperson(s) assist the school run two Scholastic book fairs each year, held in the fall and spring, and will coordinate volunteers.

​

Clothes Closet (ON-GOING): Volunteer Coordinator(s) help secure items by donations or funding that students and families may need due to hardships. They coordinate with parent volunteers to help sort and organize the clothes, shoes and other necessary items. The Clothes Closet Coordinator will get notices when a student needs clothes from the Clothes Closet and will coordinate the students and / or parents obtaining items.

​

Daddy Daughter Dance: The Volunteer Chairperson(s) will form a committee and be responsible for advertising, selling tickets, and all coordination of food and entertainment for the event. In addition, the Chairperson will coordinate with volunteers to help with setup, decorating and cleanup the day of the event.

​

Fall Festival: The Fall Festival Coordinator is the liaison between the Fall Festival Committee and the PTO, and is responsible for coordinating the PTO B.O.D. for ticket sales, assembling volunteers for set up, silent auction, the PTO Fall Festival booth and to secure PTO auction items.

​

Fun Fridays (MONTHLY): LNS PTO sponsors themes to build community spirit. Volunteer chairperson(s) will plan and advertise fun activities for Fun Fridays. Examples of activities are Hat Day, Snow Cone Day, etc.

​

Mom Son Date Night: The Mom/Son Date Night Chair(s) organize the event which may have a different theme / activity yearly, will coordinate volunteers to create and distribute fliers, collect money/tickets, decorate, pass out food and prizes.

​

Daddy Daughter Dance:  The Daddy Daughter Dance Chairs coordinate volunteers that are needed to chaperone the dance, work with VP of Communications to create and distribute flyers and dance promotions, determine a theme and decorate for the dance, arrange for refreshments at the dance, and coordinate ticket sales.

​

Muffins With Mom (MAY): The M.W.M. Chair(s) will form a committee and order all muffins, juice, coffee, water, and flowers for the event and will assemble volunteers for setup, distribution, and cleanup.

​

Restaurant Nights:  Restaurant Nights are school fundraisers like the family nights at McDonalds, Chick-fil-a and Dairy Queen.  A PTO chairperson identifies these fundraising opportunities, communicates with the restaurants and plans the event, schedules the, chairperson coordinates advertisement/volunteers and follows up with the school to ensure they receive due payments. 

​

Spirit Wear Coordinator: Volunteer chairperson needs to work with the vendor to create LNS themed items for sale. Chairperson advertises the sales, and if needed, takes orders and delivers items.  

​

Staff Appreciation (NOVEMBER & MAY): This is our way of saying “thank you” to the staff for their hard work during the year. Volunteer Chairperson(s) work with volunteers to coordinate a luncheon, or similar event(s), for the teachers and staff at LNS in the Fall and Spring.

​

Prize Party Coordinator (PERIODICALLY): Prizes are common as a result of fundraising. This Chair(s) responsibilities may include forming committees to determine prize categories, purchase prizes, and / or to coordinate prize parties as a liaison between teachers and their volunteer party committee, if necessary.

​
